To ensure effective management, control, and coordination of all documentation within the PMO. This role is responsible for maintaining an organized and compliant documentation system, supporting contract and proposal activities, and ensuring the accuracy, consistency, and timely delivery of all project-related correspondence and records, including international and governmental communications.
Key Responsibilities
1. Manage and maintain the Programs documentation library to ensure accuracy, organization, and accessibility.
2. Coordinate all Document Control activities, including the distribution and auditing of controlled documents, maintenance of electronic directories, tracking and reporting of document progress, and proper archiving.
3. Collaborate with Program Managers and staff to prepare documents in a timely and consistent manner, in line with company policies and directives.
4. Review, proofread, and edit documents for format consistency and compliance with company standards.
5. Provide contract and proposal support for all projects, including preparation and control of international and governmental correspondence.
6. Adhere to and promote compliance with company procedures and policies.
7. Implement and enforce security protocols when handling sensitive or confidential internal and external documents.
8. Manage and control personnel records for visitors and organziation’s Senior Leadership as required for base passes or future visits.
9. Drive continual improvement of document control policies, procedures, and processes.
10. Support departmental document requests and actively participate in corporate audits, events, Board of Directors meetings, due diligence activities, and ensure document release in accordance with CEO directives.
11. Create and maintain accurate corporate contact information records.
12. Manage applications for new company registrations and renewals of existing registrations.
13. Provide support to Quality Assurance processes and initiatives.
14. Handle internal and external company correspondence with professionalism and accuracy.
15. Attend meetings as required and prepare minutes of meetings in a timely manner.
16. Perform all other duties as assigned or directed by Program Managers, Directors, and the CEO.

Qualification
Minimum Qualification:
• Bachelor's in business administration or equivalent.
Experience
• 5-10 years’ experience in document administration.
• Experience in creating corporate correspondence.
• Experience working in MS Visio is desired.
